Sponsorship Strategy and Guidelines 

Guiding Principles of Collaboration and Core Values of AI4LAM

These principles define the foundation of all collaborations and ensure that every partnership aligns with the integrity, values, and long-term vision of Fantastic Futures. They are designed to foster meaningful, responsible, and sustainable cooperation between all stakeholders involved.

Sponsorship criteria for engagement

When considering sponsorships, we apply a set of principles to ensure alignment with our values, public mission, long‑term credibility, and the integrity of the AI4LAM.

  1. Strategic alignment: The sponsor’s mission, values, and activities should be broadly aligned with AI4LAM, particularly with our strategies for AI‑driven digital transformation of the sector, our commitment to the open access, sovereignty, inclusivity, and trustworthy AI solutions and infrastructures.
  2. Meaningful commitment to the ecosystem: We prioritise partners who are already engaged in, or demonstrably committed to, the cultural heritage and AI4LAM community through participation, contribution, or shared initiatives. Sponsors already cooperating with our Fantastic Futures conference hosting institutions receive priority in the selection process.
  3. Reputation and trust: We consider how the organisation—and the individuals representing it—is perceived, first and foremost, by our Member Organizations, and then by the broader LAM and cultural heritage sector and its stakeholders, including cultural and academic institutions, policy makers, funders of our Member Organizations, as well as the wider public and users of our collections. Partnerships should strengthen, not undermine, our credibility.
  4. Independence and conflict of interest: The partnership must not influence our strategic direction, content, or decision‑making. We assess potential conflicts of interest, including possible impacts on other funding streams, partnerships, or community dynamics.
  5. Transparency, accountability, and reciprocity: Partner organisations should be transparent about the nature, scope, and intentions of their sponsor support. Likewise, we commit to transparency in how sponsorships are structured and communicated. The relationship must create reciprocal value.

Sponsorship tiers and available benefits

Sponsorships are divided into Diamond, Platinum, Gold, and Silver tiers. Each tier offers varying levels of visibility, brand exposure, and engagement opportunities with a relevant professional audience.

Available benefits may include complimentary event registrations, a plenary demonstration opportunity, enhanced visibility and branding across communication channels and media, and acknowledgement on the AI4LAM website and event materials.

Benefits may include logo placement on event materials and the event website, on-site visibility, and recognition during the event. Sponsors may also have opportunities for networking and direct engagement with key participants and stakeholders.
